Getting Started
How do I set up my first client portal?
Navigate to the Clients section, click "Add Client," fill in their details, and enable the portal option. Your client will receive access credentials via email. The entire process takes less than 5 minutes. You can preview exactly what your client sees before sending the invite.
Can I customize the branding on my client portals?
Yes. AgencyPro offers full branding customization. Add your logo, brand colors, and a custom domain (like portal.youragency.com). You can also customize the layout, navigation labels, and email templates so every touchpoint matches your agency's identity. White-label portals are available on all paid plans.
Can I migrate my existing clients and projects?
Yes. We offer free migration assistance on the Plus plan. Our team helps you import existing clients, projects, invoices, and files from other platforms such as Dubsado, HoneyBook, Monday.com, or spreadsheets. Most agencies complete migration within 1-2 weeks with minimal disruption.
What happens if my clients don't want to use the portal?
The portal is designed to be intuitive and improve the client experience. Most clients appreciate 24/7 access to their project files, invoices, and communication history. We provide onboarding templates and a guided walkthrough. In our experience, most clients adapt within the first week.
Billing & Payments
How does billing and invoicing work?
AgencyPro includes automated billing features. Create invoices from tracked time, set up recurring payments for retainers, accept online payments through Stripe and PayPal, and track payment status in one place. Clients can pay with credit cards, ACH bank transfers, or PayPal. Overdue reminders are sent automatically.
Can I use AgencyPro for both project-based and retainer clients?
Yes. Track time for internal profitability on fixed-price projects, set up recurring invoices for retainer clients, and use hourly billing for ongoing work. You can also create milestone-based billing schedules. The system adapts to any pricing model, and you can use multiple models for the same client.
How do I handle scope creep and additional work requests?
AgencyPro tracks all work time separately from the original project scope. Define what's included in your base price and any time logged beyond that is flagged as out-of-scope. You can generate change-order invoices directly from that tracked time, making it easy to bill fairly and keep clients informed.

What integrations are available?
AgencyPro connects with Stripe and PayPal for payments, and with 7,000+ apps through Zapier — including Slack, Google Drive, QuickBooks, Xero, Notion, Asana, and more. We also offer a native API for custom integrations. New integrations are added regularly based on user feedback.
How do I track time accurately for different types of work?
Categorize time by project type, work phase, and client. Set different hourly rates for different work types (design vs. revisions, strategy vs. execution). The built-in timer tracks time automatically, or you can add manual entries retroactively. Time entries can be linked directly to tasks for granular profitability reports.

How secure is my client data?
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We use enterprise-grade infrastructure hosted on AWS, perform regular penetration testing, and comply with SOC 2 Type II and GDPR requirements. Your data is never shared with third parties. Role-based access control lets you restrict what team members can see.
What kind of support do you provide?
We offer email support, video-call onboarding, and free migration assistance. Our support team is available Monday-Friday 9 AM-6 PM EST, with extended coverage through our international team. Most questions are answered within 2-4 hours. Plus plan subscribers also get a dedicated success manager.
Is there a mobile app?
AgencyPro is fully responsive and works well on mobile browsers — you can track time, respond to clients, and review projects from any device. Dedicated iOS and Android apps with offline time-tracking are in development.
