An editable .xlsx with working formulas: line amounts, subtotal, tax from a rate cell, total, amount paid and balance due. The due date is the issue date plus your payment terms in days.
General service invoice
One line per service or deliverable, plus tax, amount paid and balance due. Works for most service businesses.
Itemized invoice with category subtotals
Each line has a category (for example Labor, Materials, Expenses). The invoice shows a subtotal per category before tax.
Hourly time billing
Hours x rate per task or week, with decimal hours (for example 2.5) and approved extra hours on their own line.
Blank invoice
Empty fields and no example text, so nothing placeholder-like can reach a client by accident.
How to use the Excel version
- Download the .xlsx and open it in Excel (Windows or Mac) or Numbers.
- Fill in the Invoice sheet. The Example sheet shows the same template filled in with hypothetical amounts.
- Type your tax rate as a number (8 means 8%). Leave it at 0 if you do not charge tax.
- Save a PDF (File > Save As, then choose PDF) and send the PDF, not the spreadsheet.
Twenty line rows are set up. To add more, insert rows inside the line table so the Subtotal range grows with them.

How to create an invoice in five steps
- Pick a format above (Excel, Word, Google Sheets or PDF) or the template for your type of work.
- Enter your business details and the client's name, email and address.
- Set a unique invoice number, the issue date and the due date.
- Add one line per service or deliverable with a quantity and rate. Line totals and the grand total calculate as you type.
- Write your payment terms (due date, how to pay, any late fee your agreement allows), then send the client a PDF.
When a free template is not enough
The free maker is fine for a handful of invoices a month. It is the wrong tool if you need any of the following:
- A record of past invoices. Nothing is saved, so you keep the PDFs yourself.

Yes. Every template and the invoice maker are free to use, with no account or credit card. The maker runs in your browser and does not save your invoice, so download the PDF before you leave the page.
Which formats can I download?
Excel (.xlsx) with working formulas, Word (.docx), and PDF from the online maker or as a blank printable sheet. For Google Sheets or Google Docs, upload the .xlsx or .docx to your own Google Drive and open it there; the Sheets formulas keep working. We do not share Google files from our own Drive.
How do I create my own invoice?
Add your business details, the client's details, a unique invoice number, the issue and due dates, one line per service with quantity and rate, the total, and how to pay. The invoice maker on this page lays these out and does the math.
Can I add my logo or bill in another currency?
In the Excel and Word files, yes: insert your logo and change the Currency field and number format. The online maker has no logo upload and prints amounts with a $ sign, so state another currency in the notes if you use it.
Which template should an agency use?
