Agency order forms and service checkout

AgencyPro order forms are branded checkout pages for your agency services. The buyer picks one or more services, answers the questions you need for the brief and pays by card through Stripe. They get a portal account, and the purchase lands in your delivery queue as a request. Share the form as a link or embed it on your website.

Order forms at a glance

  • Put one or several active services on a form. The total updates as the buyer selects them.
  • Standard fields (name, email, organization), service-specific fields, custom fields and file uploads for briefs, with fields that show or hide based on the services chosen.
  • Card payment through Stripe, with currency, tax and processing fee settings. Discount codes are checked at checkout.
  • New buyers get an account on first purchase and a welcome email with portal access.
  • Each purchase becomes a request in your queue. Share the form as a link or embed it on your website.

What an agency order form has to do

Any form builder can take a payment. An agency order form also has to collect a brief your team can start from, create the client's account and put the job in your delivery queue. If it stops at the payment, someone retypes the order into three other tools.

AgencyPro order forms read from the services you already set up, so a service's price, description and questions are defined once and used everywhere you sell it. The order and the work it creates stay in one system, next to the client's portal, files and invoices.

This page covers buying through an order form. Deciding what to package and how to price it is covered under productized services, and invoices and payment providers under billing and invoicing.

What order forms include

Service selection, brief questions, payment and what happens after the buyer clicks pay.

One form, several services

Choose which of your active catalog services appear on the form. Each brings its own price and description from the service, and the order summary totals what the buyer selects.

Brief questions at checkout

Collect the buyer's name, email and organization, the questions attached to each service, and any custom fields you add. Buyers can upload files such as brand guides, and fields can show or hide depending on which services are selected.

Card payment through Stripe

Buyers pay by credit or debit card through your connected Stripe account. Set the currency, tax and processing fees; taxes and fees show in the total. Coupon codes are validated before the discount applies.

Account and request on purchase

A first-time buyer gets a client account and a welcome email with access to your portal. The purchase is turned into a request, so the order lands in your delivery queue without anyone retyping it.

Your branding

Set the header color, button colors and text, layout and spacing, header and footer text, and a custom URL slug. Custom CSS is available for anything else.

Link, embed or API

Share the direct link on your workspace domain or your custom domain, embed the form with an iframe or the JavaScript widget, or build a custom checkout with the order form API (API access is on Plus).

Example: selling a logo package from your website

A hypothetical 3-person design studio, from service setup to the first order in the queue. The studio and prices are invented; the settings are the real ones.

1
Set up the services

Example: a 3-person design studio sells a one-time "Logo package" at $1,500 and a "Social media kit" at $400. The logo service's request form asks for the brand name, an industry (select field), reference images (file field) and whether a brand guide is needed, with a follow-up field that only shows if the answer is yes.

2
Build the order form

In Order Forms > Create Order Form, the studio names it "Start your brand", sets the slug, adds both services, matches the header and buttons to its brand, and writes a confirmation message with a redirect to its thank-you page. It previews the form and publishes it.

3
Put it on the website

The studio embeds the form with the JavaScript widget on its logo design page and links the same form from its email signature. With a custom domain set up, the link uses the studio's own domain.

4
A buyer checks out

A founder selects both services ($1,900), enters her name, email and company, answers the brief questions, uploads three reference images and enters the studio's 10% launch code, bringing the total to $1,710. She pays by card through Stripe.

5
The order becomes work

Her client account is created and the welcome email gives her portal access. The purchase becomes a request in the studio's queue, the submission shows as Completed, and she follows progress in the portal from then on.

Order form settings

Before you start you need a connected Stripe account, at least one active service, and the permission to create order forms. Each form is set up in six parts.

PartWhat you set
Basic informationName and description (required); custom URL slug, header and footer text (optional)
ServicesAny active service shown in your catalog, with its configured price and description
DesignHeader color, button colors and text, layout and spacing, custom CSS
Form fieldsStandard fields, service-specific fields and custom fields, with conditional display
PaymentCard payments through Stripe, currency, tax and processing fees
ConfirmationConfirmation message, optional redirect URL, email notifications and account creation options

Publishing and changes

A form is Draft (not visible to buyers), Published (live at its URL) or Unpublished (hidden, and existing links stop working). After editing a published form, republish it to push the changes live.

Duplicate a form to make a variant; everything except the name is copied. Deleting a form is permanent, and a form that already has submissions cannot be deleted, so your order history stays intact.

Submissions and refunds

Each order is a submission with a status: Pending, Completed, Failed or Refunded. Team members with the right permission can open the details, update the status and process refunds.

Separate permissions cover viewing forms and submissions, creating, editing and publishing, managing submissions, and deleting, so a contractor can build forms without touching refunds.

Order form, catalog, intake form or invoice

AgencyPro has four ways to start a paid engagement. Pick by how the buyer arrives and whether the price is fixed.

Order form

A buyer who has not logged in pays for one or more services from a link or an embed on your website

Service catalog

Clients browse your services on a catalog page (public or login-required) and check out from a service's detail page

Intake form (Pro)

An enquiry with no payment. Creates a lead in your pipeline for custom-scoped work

Invoice

You bill an agreed amount after scoping the work, and the client pays from a payment link or the portal

For prepaid credit packs that clients spend request by request, see credit-based billing. For first-login setup after a purchase, see client onboarding.

Which plan you need

Order forms are not listed as a separate line on the pricing page. What you can put on a form follows the plan rules for services: fixed-price one-time and recurring services from Basic ($39/mo), credit-based and hourly services on Pro ($79/mo), and a custom checkout built on the order form API needs API access on Plus ($149/mo). The 14-day trial includes Pro features, so you can build and test a form before choosing. If you plan to stay on Basic, ask us to confirm order form access first.

AgencyPro charges no transaction fee on checkouts. Stripe charges its standard processing fee.

Clients and buyers are unlimited on every plan. Team seats cost extra: the 3-person studio in the example pays $39 + 2 x $15 = $69/mo on Basic, or $79 + 2 x $20 = $119/mo on Pro. Full plan details are on the pricing page.

When AgencyPro order forms are not the right fit

You sell physical products

Order forms sell services that become requests. Inventory, shipping and product variants belong in an e-commerce platform.

Every project is priced after a call

If nothing you sell has a fixed price, an order form adds little. Capture the enquiry with an intake form and send a quote or proposal from Documents (both Pro), or send an invoice.

You do not want to use Stripe

Order forms need a connected Stripe account for card payments. If Stripe is not available in your country or you only take other payment methods, check this before you plan your checkout around it.

You need a general form builder

For surveys, quizzes or forms that never take a payment or create a request, a general-purpose form tool is the better fit.

Frequently asked questions

What is an agency order form?

It is a checkout page for agency services. The buyer chooses a service or package, answers the questions you need to start the work, and pays. A good one also creates the client's account and the job in your delivery queue, so nobody copies the order from one tool to another.

How do I create an online order form for my services?

In AgencyPro: create the services first, with prices and request form questions. Then go to Order Forms > Create Order Form, add a name and description, choose the services, adjust the design and fields, set payment options and the confirmation message, preview and publish. You need a connected Stripe account and at least one active service.

Can a buyer order more than one service at once?

Yes. A form can list several services, the buyer picks the ones they want, and the total updates as they select. Fields that only apply to one service can be set to show only when that service is selected.

Can I embed the order form on my website?

Yes. Embed it with an iframe or the JavaScript widget, or share the direct link on your workspace domain or custom domain. Developers can build a custom checkout with the order form API, which is part of API access on the Plus plan.

What payment methods do order forms accept?

Order forms take credit and debit cards through Stripe, which must be connected before you publish. If you turn on manual payment methods such as bank transfer, they can be offered at checkout with the instructions you write.

Does the buyer need an account before ordering?

No. Buyers check out without logging in. On their first purchase AgencyPro creates their client account and sends a welcome email with portal access, so they can follow the request in your portal.

What happens if a payment fails or I need to refund?

Each submission has a status: Pending, Completed, Failed or Refunded. Team members with the permission to manage submissions can view the details, update the status and process refunds.

Which plan do I need for order forms?

Order forms are not listed as a separate line on the pricing page. The services on a form follow the usual plan rules: fixed-price and recurring services from Basic at $39/mo, credit-based and hourly services on Pro at $79/mo, and the order form API with API access on Plus. The 14-day trial includes Pro features, so you can build and test a form first, and if you plan to stay on Basic, ask us to confirm order form access. Team seats cost extra: 3 people on Pro pay $79 + 2 x $20 = $119/mo.
