There's a moment every agency owner knows.

You open your laptop Monday morning. There are 14 new client requests sitting in your inbox. Some are detailed. Some are three words long. One has an attachment but no context. Another is tagged "urgent" but doesn't say why.

You spend the next two hours reading, categorizing, estimating, and writing "thanks for submitting, we'll take a look" replies to each one.

By the time you start actual work, it's almost lunch.

This is triage. And it eats agencies alive.

We've talked to hundreds of agency owners over the past year, and the pattern is always the same: the work isn't hard, but it's constant. It doesn't require your expertise. It doesn't require creativity. But it has to happen, and it has to happen fast, because clients expect a response.

So we asked ourselves: what if it was already done?

Meet AI Agents

Starting today, every Agency Pro workspace can create AI agents.

An agent is a virtual teammate. You give it a name — maybe Alex, maybe Sara. You give it a job title — QA Reviewer, Project Coordinator, Content Specialist. You give it instructions — "always be thorough," "focus on brand voice," "estimate conservatively."

Then you assign it capabilities. We've built 11 to start:

  • Summarize Requests — Turn long, messy briefs into clean, scannable summaries
  • Auto-Categorize — Apply the right tags based on content
  • Draft Responses — Write professional replies for you to review and send
  • Estimate Hours — Analyze complexity and suggest time breakdowns
  • Expand Briefs — Turn vague client requests into actionable creative briefs
  • Copywriting — Draft copy for ads, blogs, landing pages, social media
  • QA Review — Check requests for completeness, consistency, and blockers
  • SEO Audit — Analyze content against SEO best practices
  • Design Review — Review briefs for brand consistency and specs
  • Video Scripts — Write scripts, shot lists, and production plans
  • Translate Content — Translate and localize between languages

When a request comes in and gets assigned to an agent, every capability fires automatically. The agent summarizes it, tags it, estimates the hours, and drafts a response — all before you've opened your inbox.

How It Works in Practice

Let's say you run a design agency. You create two agents:

Agent 1: "Sara, Project Coordinator" Capabilities: Summarize, Auto-Categorize, Draft Response, Estimate Hours

Sara handles intake. Every new request gets a summary, relevant tags, an hour estimate, and a draft reply. Your project managers review instead of starting from scratch.

Agent 2: "Alex, QA Reviewer" Capabilities: QA Review, Brief Expansion, Design Review

Alex handles quality. Whenever a brief feels thin, Alex expands it. When a request hits review, Alex checks for consistency, brand compliance, and potential blockers.

Two agents. Zero salary overhead. Available 24/7.

The Workspace AI Assistant

Agents handle incoming requests. But what about the questions you ask yourself throughout the day?

How much did we bill Acme Corp this quarter? Who has the lightest workload right now? Are there any overdue invoices? What did ClientX say in their last message?

These questions usually mean opening three tabs, running two reports, and scrolling through a conversation thread.

So we built a second piece: the Workspace AI Assistant.

It's a chat interface inside your workspace. It has access to your requests, clients, invoices, documents, conversations, and team analytics. Ask it a question, get an answer. Ask it to generate a chart, it generates a chart. Ask it to draft a message, it drafts one.

It's not a generic chatbot. It knows your data. It speaks your agency's language.

The AI Chatbot

There's one more piece: a public-facing AI Chatbot you can embed on your service catalog, individual service pages, and client portal.

It answers questions about your services, guides visitors through your offerings, and handles intake — all without you lifting a finger.

You control everything:

  • Which services it knows about — toggle off anything you don't want it discussing
  • Custom greeting — set the first message visitors see
  • Custom instructions — tell it your tone, your priorities, what to emphasize
  • Look and feel — choose the accent color and widget position
  • Rate limits — protect against abuse with per-minute and per-hour caps

Think of it as your front desk. It's there when your team isn't. It doesn't take breaks. It doesn't forget your pricing. And it never says "let me get back to you on that" when the answer is on your service page.

What About Cost?

Every paid plan includes AI credits:

| Plan | Credits | Frequency | |------|---------|-----------| | Trial | 100 | One-time | | Basic | 500 | Monthly | | Pro | 2,000 | Monthly | | Plus | 10,000 | Monthly |

Credits are consumed based on the complexity of each interaction. A simple summary might cost 2–3 credits. A detailed brief expansion might cost 8–10. You can always purchase additional credits if you need more.

Getting Started

  1. Log into your Agency Pro workspace
  2. Go to AI > Agents in the sidebar
  3. Click Create AI Agent
  4. Give it a name, a job title, and select its capabilities
  5. Start assigning requests to your new teammate

It takes less than a minute to set up.

What's Next

This is version one. We're already working on:

  • Custom capability builders so you can define your own AI workflows
  • Agent performance analytics — see how much time each agent saves
  • Client-facing agents that can respond directly in the client portal
  • Deeper integrations with documents and invoicing

We built Agency Pro to take the overhead out of running an agency. AI Agents are the biggest step we've taken toward that goal.
