MIGRATION GUIDE
How to Migrate from Harvest to AgencyPro
A complete 2026 guide to moving your agency off Harvest. Bring time tracking, project management, CRM, and client portals into one platform.
Why agencies switch from Harvest
Time tracking is all you get
Harvest is narrow by design. Agencies still need a CRM, proposal tool, project management, and client portal alongside it.
Per-user pricing stacks up
Harvest charges per seat. Bigger teams can pay $4-5K/year just for time tracking. AgencyPro gives unlimited seats on most plans.
Forecast is a separate product
Harvest Forecast is sold separately. AgencyPro ships native resource planning out of the box.
No branded client portal
Harvest invoices clients but has no white-labeled client portal. AgencyPro offers a fully branded experience at your own domain.

Step-by-step migration process
Export data from Harvest
In Harvest, go to Reports > Detailed Time. Export time entries as CSV. Also export projects, clients, and invoices from their respective list views.
Set up your AgencyPro account
Sign up at agencypro.app. Configure branding, default billable rates, project tasks, and timer settings so the team experience feels familiar.
Import clients and contacts
Upload the Harvest client CSV. Map company, contact, billing address, and payment terms.
Migrate active projects
Recreate each active Harvest project with the same scope, hourly rate, and budget. Invite the same team members assigned in Harvest.
Transfer invoices and billing history
Import open invoices so clients can continue paying. Upload historical invoice CSVs for archive and reporting.
Set up recurring subscriptions
Connect Stripe. Rebuild any recurring or retainer invoices as AgencyPro subscriptions. Email clients about re-authorizing cards on file.
Invite team members
Add every teammate who tracks time. Set role-based permissions so billable staff can track time but can't change rates.
Test and go live
Have the team track time in AgencyPro for a full week. Generate an invoice from tracked time to validate the full workflow. Then switch off Harvest.
What data you can migrate
Common migration challenges
Challenge: Team muscle memory
Harvest's timer is a daily habit. Solution: Spend 20 minutes walking the team through AgencyPro's timer, mobile app, and keyboard shortcuts before go-live.
Challenge: Historical reporting continuity
Year-over-year utilization reports need historical data. Solution: Import at least 12 months of Harvest time entries so your dashboards stay meaningful.
Challenge: Harvest Forecast replacement
If you use Forecast for capacity planning, rebuilding takes a few hours. Solution: Use AgencyPro's native resource planning to set up team capacity and project assignments during week 1.

Frequently asked questions
Why move from Harvest to AgencyPro?
Harvest is excellent at time tracking and invoicing but lacks CRM, proposals, project management depth, and client portals. Agencies outgrow it and end up paying for 4-5 tools. AgencyPro consolidates everything under one roof while keeping strong time tracking.
Can I migrate historical time entries?
Yes. Harvest supports full time-entry exports by date range. Import them into AgencyPro for reporting continuity and utilization history.
Does AgencyPro have timer and mobile time tracking like Harvest?
Yes. AgencyPro includes web and mobile timers, with browser extensions coming for 2026. You won't lose the time-tracking ergonomics Harvest teams love.
What about Harvest Forecast?
AgencyPro ships with native resource planning and capacity views that replace most Harvest Forecast use cases. No need to buy a separate forecasting tool.
How long will my Harvest migration take?
Most agencies complete the migration in 1-2 weeks. Teams with years of time entries may take a bit longer to validate historical reports, but day-to-day operations can cut over in the first week.
