As a daycare provider, you're entrusted with the most precious responsibility: caring for children while their parents work. Whether you run a home daycare, childcare center, or preschool program, professional invoicing ensures you're compensated for your care, helps parents with their tax documentation, and maintains the trust essential to your business. This guide covers everything daycare providers need to know about professional invoicing.
What the daycare invoice covers
What you can do with this template, and what it does not do.
Age-Based Tuition Billing
Automatically apply different weekly or monthly rates for infants, toddlers, preschoolers, and school-age children, reflecting the varying care requirements and staff-to-child ratios for each age group.
Late Pickup Fee Calculation
Track and bill late pickup fees by the minute or hour, automatically calculating charges when parents exceed pickup times, protecting your staff schedule and compensating for overtime.
Meal and Supply Fee Tracking
Separately itemize meal charges, snack fees, and supply costs on invoices, providing transparency for parents while accurately tracking food and material expenses.
Sibling Discount Application
Automatically apply sibling discounts (typically 5-15%) when multiple children from the same family are enrolled, encouraging family retention while maintaining profitability.
Year-End Tax Statement Generation
Generate annual statements with total childcare expenses and provider tax ID (EIN/SSN) for parents to claim dependent care tax credits and FSA reimbursements.
Absence and Holiday Policy Tracking
Document tuition due during absences and holiday closures according to your policy, clearly communicating expectations and preventing payment disputes with parents.
